1 Why is the pre-application form showing as a read-only form? It also states that a full application is underway.
You have probably opened and then saved a full application form without meaning to whilst still working on a pre-application form.
To continue with the pre-application form you will need to delete the full application form. To do this select ‘View’, then press ‘Exit’ and select ‘Discard/Delete form’. Click on ‘Delete form’ to confirm.
2 How do I change the name, email address and telephone number of the main contact person?
We will need to do this for you. Please send an email to formsupport@hlf.org.uk giving your log-on email address and password, and your project reference number.
3 How do I update/ change the name or address details of my organisation?
We will need to do this for you. Please send an email to formsupport@hlf.org.uk giving your log-on email address and password, your project reference number, and the new details of the contact.
4 How do multiple members of my organisation work on the same application form?
Once the form has been created and a reference number allocated, each member of your team should register their email address, their individual password, and select their organisation. The form should then be accessed through the reference number supplied which you will need to circulate to your team.
5 I have completed the form but am unable to submit it as it shows items are still missing.
The system normally highlights the sections within the form where information is missing. Please check these sections carefully.
You need to progress through the form through the Next button rather than using numbered sections down the side (as this may miss out relevant sections needing to be completed). A common error is to complete the amount of money (£) requested but to omit the percentage (%) this represents of the total project costs.
6 I have previously accessed the application forms, but now my email and/or password are not recognised.
Please double-check that you have entered the correct email or password. Click on ‘Forgotten password’ to request a password reminder. If the log-on fault continues, please contact formsupport@hlf.org.uk
7 The application form shows a time-out error.
This may mean that more than one person is logged onto the same form or account at the same time. If this is not the case, please contact formsupport@hlf.org.uk As the form will timeout after a period of time (especially on a broadband connection), you should save the information you have entered regularly.
8 I have a problem in submitting my application under the Heritage Grants scheme – I’m being asked for second round costs. Do I need to complete the second round costs to submit a first round application?
Yes. Under Section 6, points c and d: a brief outline of 2nd round costs are required, even at a first round application, in order to give HLF decision takers an indication of how much you expect your project to cost and how much you expect to ask for from HLF at the second round. These figures will be estimates but should reflect how much you anticipate your project will cost to deliver.
9 Why do certain questions restrict the number of words I can type, but no word count is indicated?
Usually, this is because only a one line answer is required: for example, in the question: “What are the main groups of people who will benefit from your project?” Your answer may be something like: “young people” or “people with disabilities”.
10 How do I delete my form?
From your open application form, press the exit button and select discard/delete form. You will then be asked to confirm this.
11 My form does not recognise the reference number supplied upon registration
An activation link will have been sent to the email address you gave at registration. You need to check that account and click on the link within the email. Once activated you will be able to use your reference number. Alternatively, it may be that your organisation has multiple registrations (with multiple reference numbers), and you are entering an incorrect reference number. Click on forgotten project reference, to receive a reminder of a reference number. If the fault continues, please contact formsupport@hlf.org.uk
12 I have not received an activation link.
An activation link will have been sent to the email address you gave at registration. You need to check that account. Please check any relevant security software settings, such as spam filters and junk mail folders. The email may have been diverted from your Inbox. If the email has still not arrived, please contact formsupport@hlf.org.uk
13 My organisation has country and regional offices. Should I create a new record for my own local office?
No. Please register under your head office. Your own local address and contact details can be included under the main contact.
14 Our place of worship/historic building/ wildlife project does not have its own postcode.
Please enter the postcode of the nearest building. Then edit the address fields of the address to the name of your place of worship or building.
